Job Description
POSITION:               Receptionist & Administrative Assistant
STATUS:                   Part-time (20 hours per week)
PROBATION:           90 Days
REPORTS TO:         Executive Director

QUALIFICATIONS:          
  • Skills in using personal computers including software applications for spreadsheets, databases, word processing and email (Microsoft Word, Publisher & Excel Spreadsheets preferable).
  • Skills in social media sites, Facebook, Twitter, LinkedIn, and Instagram.
  • Excellent verbal and written communication skills.
  • Knowledge of public relations techniques to work effectively with customers in person or by telephone.
  • Skills in using basic office equipment to include computers and copy machines.
  • Ability to work in a team-oriented office environment.
  • Ability to multi-task with multiple interruptions.
  • Minimum one year of experience involving clerical skills, public relations/customer service, and familiar with a business environment.
 
FUNCTIONS:
  • Responsible for all functions relating to visitor and information services, including answering phones, assisting visitors and fulfilling information requests.
  • Responsible for sorting and distributing mail.
  • Responsible for basic clerical support of events, programs, membership processing and meetings.
  • Responsible for social media announcements, and event scheduling
  • Responsible for member tracking

DUTIES & RESPONSIBLITIES:
Information / Public Relations Duties
  • Manage visitor and information services to include answering phone, assisting visitors, and keeping an accurate and orderly brochure inventory. Ensure that visitor counts, phone calls and other communications are properly noted and keep a record of the counts.
  • Responsible for responding to visitor emails and processing email information requests.
  • Keep Mission & Executive Membership information displays full and information area clean and orderly.
  • Order brochures, magazines and other collateral as needed to ensure racks are full.
  • Keep demographic and community information files current and easily accessible.
  • Update in-house produced brochures and ensure adequate stock is on hand.
  • Fulfill all information requests including relocation and visitor information.
  • Oversee office supplies inventory.
     
 
Website & Email Duties
  • Assist Projects and Executive Director to prepare weekly emails KCC member event reminders, Social Media postings.
  • Assist Projects and Executive Director with projects and events as needed.
  • Create and manage databases for events and programs as needed.
 

Membership Assistance

  • Maintain adequate stock of new member packets.
  • Assist Executive Director to prepare invitations for new member Orientation and make invitation calls as needed.
  • Assist in preparation of Member Orientation materials as directed by Executive Director.
  • Assist in organizing Greeters, Community Conversations, Luncheon Forums and K.N.O.W luncheons.
 

Clerical

  • Open and distribute mail daily. 
  • Prepare mailings and bulk membership mailings as needed.
  • Assist with RSVP calls and emails and prepare RSVP sheets for all member events.
  • Assist other Chamber staff with organizing events and communicating with attendees when needed.
  • Perform document preparation, filing and mailings for chamber programs and events as needed.
  • Assist other office staff with programming needs (Greeters, GAC, Ambassadors, etc).
  • Perform other clerical support duties as assigned.
 
Other duties as assigned
 
Education Requirements: High School Diploma or GED.

Work Schedule & Particulars:           
20 hours a week with occasional exception of event/meeting assistance.
General operation hours are Monday through Friday (10:00am – 2:00pm).
 
The Basic Compensation Package:
Hourly wage, current Oregon minimum wage.
